Overview

For more than 15 years, OnePlan has helped large organizations manage complex portfolios, resources and strategic initiatives. Its enterprise project and portfolio management platform is designed for companies overseeing hundreds, thousands or even tens of thousands of projects, helping teams connect day-to-day execution with broader organizational strategy.

“We serve over 500 companies right now,” said Scott Hebert, CEO. “We manage over 600,000 projects.”

OnePlan also has deep roots in the Microsoft ecosystem, making it a natural fit for organizations accustomed to Microsoft tools. As Microsoft Project and Project Online evolve, OnePlan offers enterprises a familiar path forward with portfolio management capabilities built for greater scale and complexity.

That opportunity extends naturally to the public sector, where federal and defense organizations are under constant pressure to manage resources carefully, maintain accountability and execute against complex mission objectives.

The challenge

Why OnePlan Had to Turn Down Federal Opportunities

For years, OnePlan saw federal opportunities it could not pursue because it had not yet completed the necessary federal compliance requirements — especially the Federal Risk and Authorization Management Program (FedRAMP).

“We really have always had these opportunities with the federal space where our team was like, ‘Sorry, we’re not FedRAMP Certified,’” Hebert said. “We were just walking away from business.”

The limitation became harder to ignore as changes around Microsoft Project and Project Online created new demand among organizations looking for alternatives. OnePlan saw a strong market fit, but FedRAMP and Department of War(DoW) requirements stood between the company and those opportunities.

Leadership also knew from previous experience that federal compliance could require significant time, money and internal resources. OnePlan had to decide whether to build that capability itself or partner with a team that already knew the process.

“FedRAMP Certification is a big, daunting job to take on,” Hebert explained. “I probably would have had to hire another half dozen to a dozen folks to manage it.”

Beyond staffing, OnePlan needed to determine the right path through FedRAMP and defense requirements, including whether to pursue FedRAMP Moderate, FedRAMP High or specific DoW impact levels. As Hebert put it, “The problem was: How do we get there less painfully?”

The solution

A Faster, Better Path to FedRAMP Certification

OnePlan chose Project Hosts to provide the infrastructure, compliance expertise and hands-on guidance needed to move forward faster. According to Herbert, it was an easy decision.

“We had a chance to meet Project Hosts and found there’s a faster, better way to get to FedRAMP Certified,” he said. “They have the expertise and can get through a lot faster.”

Project Hosts helped guide OnePlan through documentation, audit preparation, compliance strategy and decisions around the appropriate certification level. That support also extended into customer conversations, where Project Hosts’ technical experts could help explain requirements and give prospects greater confidence in the path ahead.

For Hebert, the relationship quickly became more than a typical vendor engagement.

“Their overall team is just great to work with,” he said. “They’re like an extension of us because they’re in the weeds with us.”

That managed approach helped OnePlan keep its internal compliance footprint lean. Instead of building a large team solely to manage federal requirements, the company could rely on Project Hosts’ experience while keeping its own people focused on the product and customers.

“If you can accelerate through Project Hosts and be guided through the process and know what level you’ll need … that’s the ticket to make the whole thing easier,” Hebert added.

The results

$10–$20 Million in Federal Opportunities

The partnership has transformed federal compliance from a barrier into a practical go-to-market strategy for OnePlan. Instead of walking away from opportunities, OnePlan can now pursue conversations that were previously out of reach.

“It’s very liberating to the sales team,” Hebert said. “They’re super excited about being able to go after it, and it really opens up the market.”

Project Hosts also accelerated OnePlan’s expected compliance timeline. Rather than the one- to two-year process Hebert had experienced elsewhere, the approved plan targets a timeline of under four months to achieve full FedRAMP High Certification, with Project Hosts guiding the process from start to finish.

That faster path is already changing OnePlan’s federal outlook. Hebert estimated that the company sees $10 million to $20 million in potential opportunity as it expands into federal and defense markets.

The benefits extend beyond government business. As Hebert said, the security work associated with FedRAMP and defense requirements also strengthens OnePlan’s broader commercial security posture.

“The things that we’re doing to be FedRAMP and DoW certified translate into the commercial space as well,” he explained. “So it enhances our security overall.”

Most importantly, OnePlan can focus on a market where its technology is well suited to the mission. Federal and defense organizations need to manage complex portfolios, limited resources and strategic priorities without compromising security. With Project Hosts handling much of the heavy lifting, OnePlan can concentrate on helping those organizations execute.
